Meeting Room

Birchard Public Library offers meeting rooms at the Main Library for public use. A variety of room sizes are available, accommodating groups of up to 75 people by reservation. In addition, the library provides four small study/tutor rooms and one group study room, which are available on a first-come, first-served basis.

Who May Reserve the Rooms?
Meeting rooms at Birchard Public Library are primarily reserved for library-sponsored activities. When not in use by the library, the rooms are available on equal terms to nonprofit organizations and individuals in the community, regardless of members’ beliefs or affiliations, provided the use is non-commercial and consistent with the library’s informational, educational, and recreational mission. All meetings must be open to the public. Private events such as birthday parties, baby showers, and similar gatherings are not permitted. The use of meeting rooms for personal political campaigns, paid tutoring, or any form of solicitation is also prohibited. No admission fees may be charged. The Birchard Library Board of Trustees has determined that workshops or seminars on financial, estate, or retirement planning — and related topics — are considered for-profit ventures; as such, individuals or groups sponsoring these programs are not permitted to reserve library meeting rooms. If there is any question regarding a group’s eligibility, the matter will be referred to the Library Director. Please see the rules and regulations for further information.

How Much Does It Cost?
Birchard Public Library is pleased to provide meeting space to community groups at no charge.

Will The Library Staff Set Up the Room?
Groups are responsible for arranging the rooms to suit their needs. If any changes are made to the setup, it must be returned to its original configuration. 

Does The Library Have Audio Visual Equipment Available for Use?
Yes. Meeting Room B is equipped with a screen and A/V equipment available for use upon request. Groups planning to use this equipment are encouraged to schedule a practice session in advance, as library staff may not be available to provide assistance during the actual meeting. Meeting room C and the group study each have a television that can be connected to your personal laptop for screen mirroring.

How Do I Reserve the Meeting Room?
Applications are available at the circulation desk at the Main Library, by sending a request to reservations@birchard.lib.oh.us, or via the online form below. Completed printed forms may be submitted by email to reservations@birchard.lib.oh.us or delivered to the Main Library. Once your application is approved, you will receive a confirmation email with your reservation details. The library reserves the right to deny use of its meeting rooms.

You will NOT be permitted to use the meeting room until your application is formally approved.
